How do I deposit my research outputs?

How do I deposit my newly accepted journal articles and conference papers?

These guides give step-by-step instructions on how to deposit newly accepted research outputs:

How to deposit a newly accepted journal article (PDF)

How to deposit a newly accepted conference paper (PDF)

Before you start, check if your School or Faculty can help you deposit outputs subject to the HEFCE policy.

If you are depositing your own outputs in the University publications system, you need the following information:

  • Details of the Title, Author(s), Date of acceptance, the name of the Journal it will be published in (articles only) or the Conference start date (conferences only)
  • A copy of the author accepted version of the output

To comply with HEFCE and University policies you should deposit all outputs accepted for publication from 1 April 2015.

Guides are also available in the help section of the University publications system.

How do I deposit earlier journal articles and conference papers?

Deposit of other research outputs is not required by HEFCE for the REF, but is required by the University Publications Policy.

  1. Go to the University publications system
  2. Click on the link "View [x] existing publication(s) awaiting deposit" to see if bibliographic details already exist. If they do, follow the instructions in the Adding full text guide inside the Help menu.
  3. To enter details of your output where no bibliographic details already exist (whether or not you also need to deposit the full text), scroll down to the "My Publications" section and click on the + symbol for the appropriate publication type.

Adding all your research outputs will mean that your publications page on your departmental website is complete if a feed from the publications system has been set up.

There may be a delay before items published before 2014 appear online, as priority is given to items that may be entered for the next REF.
